Team Credit Budget Approval in WooCommerce: Prepaid, Pooled, Per-Transaction
If you sell to companies, agencies, schools, or clubs through WooCommerce, you have probably hit the same wall: you want to let a whole team buy from your store, but you do not want every member spending without limits, and you do not want to chase invoices afterward. How team credit budget approval works: prepaid, pooled, approval-gated
CreditKit Pro’s Groups & Budgets module gives a team one pooled balance, denominated in credits (the credit label is configurable, so you can call them points, tokens, or anything that fits your store). The budget is prepaid — the team tops up first, then spends down. Because the balance is shared, every member draws from the same pool rather than from individual allowances you have to top up one by one.
On top of the pool sits per-transaction approval routing. You set a threshold; transactions at or below it clear immediately, and transactions above it are routed to an approver before the credits are spent. This is the part that is genuinely hard to find elsewhere, and it is the reason CreditKit Pro exists as a B2B tool rather than just another wallet.
How spend is enforced
Spending is atomic. When a member checks out with credits, the deduction runs as a single guarded operation (WHERE credits >= amount), so two members spending the same pool at the same moment cannot push the balance negative. The pay-with-credits gateway is all-or-nothing: an order is either fully covered by credits or it is not paid with credits — there is no partial credit-plus-card split. For a prepaid team budget that is exactly the behavior you want, because it keeps the pool’s accounting clean.
Where this sits versus the alternatives
We think it is worth being specific about why you would choose this over the established players, because each does something close but not the same.
- Kestrel gives teams a prepaid allowance, which is great, but it does not gate individual transactions for approval. Once the allowance is there, it is spent.
- B2BKing offers company credit, but it is postpaid (spend now, settle later) and its approval is a one-time onboarding step, not a check on each purchase.
- WholesaleX can require approval per order, but it is all-or-nothing on the order itself and there is no pooled, shared budget behind it.

Honest scope
CreditKit Pro does not do partial credit-and-card payments, credit holds or reservations, or customer-to-customer transfers. Refunding a credit-paid order returns credits automatically, in proportion to the amount refunded; on a money-paid order an admin can issue goodwill credit at a store-wide rate.
